Privacy Policy

Simplifi Courses runs hands-on composite bonding and veneer courses for dentists and dental therapists. This policy explains what we do with your personal information when you enquire, book a place, ask for our free guide, or simply read this site — and what you can ask us to do about it.

We are not a dental practice. We do not treat patients and we hold no patient records; the people described here are the professionals who come on our courses. We are the “data controller” for that information under the UK GDPR and the Data Protection Act 2018.

What we collect, and when

Almost all of it you give us yourself, and only when you choose to. Nothing on this site asks for information about your health, apart from an optional question about dietary needs when you book, and we never ask you for anything about your patients.

• When you use the contact form: your first and last name, your email address and whatever you write to us.
• When you ask for the free guide: your first name, your email address, your answers to the three questions on the form (how often you do bonding, how confident you feel, what you find hardest) and whether you ticked the box to hear from us.
• When you join a waitlist or ask to be told about new dates: your name, your email address and a phone number if you give one.
• When you book a course: your name, email address and phone number, your GDC number (it goes on your CPD certificate), your billing details, any dietary requirement you tell us, whether you are coming to the Friday dinner, what you are hoping to get from the two days and how you heard about us.
• When you pay by instalments: the booking details above plus your plan and payment history. Your bank details are entered on GoCardless's own pages — they never reach this website or our servers. We keep the plan, the payments and your VAT invoices.
• On the course: photographs and short films of the room and the benches (see “Photography on our courses” below).
• If you send us a review: your name, your role and what you wrote.
• From your browser, but only if you allow it: analytics and advertising cookies (see the Cookie Policy).

Dietary requirements

If you tell us about an allergy or a dietary requirement so the venue can feed you properly, that can say something about your health or your beliefs — so we treat it with more care than the rest. We use it only to order your food, we pass the caterer only what they need to cook, and we delete it 30 days after the course has run.

Why we use it, and our lawful basis

• To give you the course you booked — your place, joining instructions, materials, the hardcover manual and your CPD certificate. Lawful basis: performing our contract with you.
• To take payment and keep proper records, including VAT invoices and instalment collections. Lawful basis: our contract, and our legal obligation to keep tax records.
• To answer enquiries and look after delegates before and after the two days, including the post-course WhatsApp group. Lawful basis: our legitimate interest in running a course business you can ask questions about.
• To send you the guide you asked for, and news about courses if you agreed — or if you have booked with us before and have not opted out. Lawful basis: your consent, or the PECR soft opt-in for past delegates. Every email carries an unsubscribe link and we act on it immediately.
• To measure and improve this website and our advertising. Lawful basis: your consent, given through the cookie banner and withdrawable at any time.
• To show what our courses are actually like, using photographs and film taken on the day. Lawful basis: your consent, which we ask for on the day and which you can withdraw whenever you like.
• To meet our legal obligations and to protect against fraud and misuse. Lawful basis: legal obligation, and our legitimate interest in protecting the business.

Photography on our courses

We photograph and film our courses, and those pictures appear on this website, in our emails and in our advertising. We ask you on the day, before we start, and if you would rather not appear we simply keep you out of shot — nobody has to explain why.

You can change your mind later. Write to office@simplificourses.co.uk and we will stop using images of you and take down any that are already published; there is no time limit on that and you do not need to give a reason.

Who we share it with

We use a small number of established suppliers to run the courses and the site. They process your data on our instructions, under contract, and for nothing else. We do not sell your personal information and we do not share it for anyone else's marketing.

• Ticket Tailor — course booking and ticketing
• GoCardless — Direct Debit mandates and instalment collections (your bank details are given to GoCardless directly, on their pages)
• Supabase — secure storage of enquiries, guide requests, waiting-list sign-ups, instalment bookings, payment records and invoices
• Resend — sending booking confirmations, invoices and other transactional email
• ActiveCampaign — our mailing list and CRM: your name, email address, what you asked for and whether you opened or clicked our emails. It also gives Meta a scrambled (hashed) list of the email addresses of guide requesters and delegates, to build our advertising audiences; email office@simplificourses.co.uk if you would rather be left out
• Zapier — passes guide requests and ticket bookings into ActiveCampaign
• Vercel — website hosting and infrastructure
• Google — Google Analytics 4 for website measurement (only if you accept the matching cookies), and Google Workspace for our business email
• Meta Platforms — the Meta Pixel for advertising measurement and audiences (only if you accept advertising cookies), a scrambled record of your enquiries and bookings sent from our server on the same terms (explained under “Cookies and tracking technologies”), the hashed audience lists from ActiveCampaign described above, and WhatsApp if you choose to message us
• Microsoft — Clarity, anonymised heatmaps and session replays of how pages are used, with typed input hidden (only if you accept analytics cookies)
• Render — hosts our own advert-measuring tool, which sees a random code and the advert you came from, never your name or email (only if you accept advertising cookies)
• The venue and its caterer for each course — the delegate list and any dietary requirements, so you can get in and be fed
• Our accountant, and HMRC where the law requires it

Cookies and tracking technologies

Nothing optional runs until you allow it. On your first visit a banner asks two separate questions — analytics cookies, and advertising cookies — and both are off until you say yes. Until then the only cookies set are the strictly necessary ones that make the site work and remember your answer.

Analytics cookies let us see which pages actually help someone choose a course, and which ones do not: Google Analytics 4 and Microsoft Clarity, which shows us anonymised heatmaps and replays of how a page was used (it hides anything you type). We read it in aggregate; we do not use it to identify you.

Advertising cookies come from Meta (the Meta Pixel, covering Facebook and Instagram). They let us see whether an advert led to a booking and show our courses to dental professionals with broadly similar interests. We never send Meta anything you wrote to us, your GDC number or your payment information. Where Google supports it, your choice is passed to its tags as a consent signal.

You can change or withdraw your choices whenever you like from the Cookie settings link in the footer. Every cookie we can set — what it does, who sets it and how long it lasts — is listed in our Cookie Policy. Our ticket pages (Ticket Tailor) and instalment pages (GoCardless) are separate sites with their own cookies and their own policies.

If you allowed advertising cookies, we also tell Meta from our own server when you send a form, start an instalment plan or book a place, so we can see which adverts actually lead to a booking. Your name, email address and phone number are sent in a scrambled form (hashed) that cannot be turned back into your details, along with the course and the amount, your IP address, your browser type and Meta's own cookie IDs. We never send your GDC number, anything you wrote to us, or your payment details.

Card bookings on our ticket pages are run by Ticket Tailor. Those are counted by Meta's Pixel on Ticket Tailor's checkout, under Ticket Tailor's own cookie banner and privacy policy.

Everything else waits for your permission: the advertising cookies on this site, and the purchase message for an instalment booking. Decline, and none of it is sent.

Two smaller things, for completeness: the WhatsApp button opens a chat with us on WhatsApp (Meta), and videos embedded on the site are served in YouTube's no-cookie mode, so YouTube sets nothing unless you press play.

International transfers

Some of the suppliers above are based outside the UK, mainly in the United States. Where personal data is transferred out of the UK we rely on appropriate safeguards — UK adequacy regulations, the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses.

How long we keep it

We keep things for as long as they are genuinely useful to you or required of us, and no longer. Where the law sets the period we follow it; where it does not, we set one and review it.

• Booking records, VAT invoices and payment records: six years after the end of the relevant tax year, which is what HMRC requires of us.
• Your attendance and CPD certificate record: five years, matching the GDC's five-year cycle, so we can reissue your certificate for as long as it counts towards it.
• Enquiries, waitlist entries and guide downloads: five years from your last contact with us — an enquiry, a sign-up or a booking — so if you come back for another course your history is still there. Longer if you are on the mailing list, in which case they stay while you are.
• Mailing list: until you unsubscribe. There is no automatic cut-off; every three years we review contacts who have not opened anything and no longer have any other relationship with us.
• Dietary requirements: deleted 30 days after the course has run. We would rather ask you again next time than hold on to something that touches your health or your beliefs.
• Analytics: 14 months, which is the longest Google Analytics allows, and only if you accepted analytics cookies.

Your rights

Under UK data protection law you can ask us for a copy of your data, to correct it, to delete it, to restrict or object to what we do with it, to have it sent to someone else, and to withdraw consent at any time. Email office@simplificourses.co.uk and we will answer within one month. There is nothing to pay.

If you think we have got it wrong, please tell us first — but you can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Security, and who this site is for

We keep your information on reputable platforms with access limited to the people who need it, and payment details never touch our own servers. No website can promise perfect security, but we take it seriously and will tell you and the ICO if something goes wrong that puts you at risk.

Our courses are for registered dental professionals. This site is not aimed at children and we do not knowingly collect their data.

Changes & contact

We may update this policy as the business changes. The current version is always on this page, with its date at the top.
